Overview

What does the Toast POS integration do?

The Toast POS integration is the native point of sale connector in CaptiFi. It matches a guest's WiFi login to their Toast orders, joining the consented contact data captured on your splash page (email, name, venue and visit date) to what that guest has actually spent with you. Access is read-only: CaptiFi pulls orders from Toast every 15 minutes and never pushes anything back.

Matched orders feed a Toast Spend dashboard showing matched spend, match rate, average spend per guest, your top spenders and a 12-week trend. Every matched guest gets a tier by total spend in your venue's currency: VIP at 200 or more, Regular at 50 or more, Casual below that. The spend also appears on each guest's profile next to their visit history.

The win-back flow takes one click. The dashboard lists your lapsed high spenders, the guests above a spend level who have not been in recently. Save that list as a segment snapshot and send it a campaign, or export the matched guests and their spend as a CSV. Available on the Growth plan and above.

Paste your Toast credentials

Enter the machine-client credentials Toast issued for your restaurant, the client ID, client secret and restaurant GUID, into CaptiFi, one set per restaurant location.

Let CaptiFi match guests to orders

CaptiFi matches the email on each Toast order to the email the guest entered on the splash page at WiFi sign-in. Matching is by email only; orders with no email, or a different one, stay unmatched.

Restaurant

A casual dining restaurant opens its lapsed high spender list, saves the snapshot as a segment and emails those diners a reason to come back, turning the people who already spent most into return bookings.

Frequently asked questions

Is the Toast POS integration native or does it use Zapier?
It is native. Toast is a point of sale that CaptiFi connects to directly, with no Zapier in the middle. You connect it by pasting the machine-client credentials Toast issued you, the client ID, client secret and restaurant GUID, into CaptiFi, and CaptiFi handles the matching and the 15-minute refresh.
How does CaptiFi match a WiFi login to a Toast order?
By email address only. When the email on a Toast order matches the email a guest entered on your splash page, the order is linked to that guest. There is no phone number fallback: an order with no email, or with a different email, stays unmatched and shows as anonymous revenue.
How often does spend data update?
CaptiFi pulls orders from Toast every 15 minutes. Access is read-only; nothing is written back to Toast, and prices, orders and payments are never touched.
Can I build segments or automations from Toast spend?
Spend, order count and average order value are not available as fields in the segment builder, and automations cannot be triggered by spend or by Toast data. What you can do is open the lapsed high spender list on the Toast Spend dashboard, save it as a segment snapshot and send that snapshot a campaign, or export the matched guests as a CSV.
Does it separate online orders from in-store orders?
No. Matched spend is shown per guest as a total; CaptiFi does not attribute orders to online or in-store channels.
Does this only work for guests who buy something?
The spend data and tiers apply to guests whose WiFi login can be matched to a Toast order. The captive portal still captures a consented email from every guest who signs in, including people who never order, so they remain on your list for general campaigns. The Toast data adds spend detail on top for those it can match.
Is guest consent respected?
Yes. CaptiFi only works with guests who sign in and opt in on your splash page, and their marketing opt-in state is held alongside their record. When you save a lapsed high spender snapshot and email it, you are messaging people who have agreed to hear from you.
